Our care plans haven't launched yet
Our care plans aren't on sale yet. At the moment this website collects personal information through our contact and quote form, our Priority waiting list form and our register-your-interest form. The parts of this notice about plan members will apply once plans launch.
What we collect
- Contact and quote form: your name, phone number, email address, property postcode and your message. On the Priority waiting list form, your boiler make instead of a message.
- Register-your-interest form: your name, email address, phone number (optional), property postcode, the plan you're interested in (Essential, Priority, Landlord or not sure), the number of properties (optional, for landlords), and a record that you ticked the box asking us to email you when our care plans launch, with the date you did so.
- Once plans launch, when you join a care plan through Stripe: your name, email, phone number, billing address, property postcode, boiler make and model and, for Landlord plans, tenant or agent contact details. Your card or bank details are handled by Stripe, not by us.
- When we visit: the details of your boiler and appliances, service records and, for landlords, Gas Safety Records.
Why we use it, and our lawful basis
- To reply to your enquiries and give you quotes (steps you ask us to take before a contract, or our legitimate interests in responding to people who contact us).
- To email you when our care plans launch, if you ticked the box on the register-your-interest form (your consent). We'll only use your details for this and to answer any questions you send us. We won't send you other marketing unless you've separately agreed to it.
- To check we cover your area and to understand which plans people are interested in, so we can plan our launch (our legitimate interests). We only use the details you gave on the form for this.
- Once plans launch: to provide your plan, including booking and carrying out visits, sending service and CP12 reminders and keeping records, and to take payments through Stripe (contract).
- To keep records we're required to keep, such as gas safety records (legal obligation).
You can withdraw your consent to launch emails at any time, by using the unsubscribe link in any email we send or by emailing info@rwph.co.uk. This doesn't affect anything we did with your consent before you withdrew it.
Who we share it with
- Webflow, who host this website and receive and store form submissions, including the register-your-interest form. [Details of any transfers outside the UK and the safeguards used to be confirmed.]
- [The email service we use to send the launch email to be confirmed.]
- Once plans launch: Stripe, who process plan payments and the customer portal.
- Our trusted subcontracted Gas Safe registered engineers, when they carry out a visit for you.
- Boiler manufacturers, when we arrange a warranty part for you.
We don't sell your information.
How long we keep it
- Register-your-interest details: until our care plans launch and we've emailed you, plus a reasonable period afterwards so you have time to sign up [period to be confirmed]. We'll delete them sooner if you unsubscribe or ask us to. If you unsubscribe, we may keep just your email address on a do-not-contact list so we don't email you again.
- Contact and quote enquiries: [retention period to be confirmed].
- Plan members' records and gas safety records: [retention periods to be confirmed].
